Data we collect
If you are Ukrainian, or a sponsor hosting a Ukrainian person, the types of information the council holds and processes about you will typically include some or all of the following:
Ukrainian people
We will collect information relating to any safeguarding, security and assessments required to provide support such as:
- personal information (such as name, addresses, dates of birth, visa/passport numbers for you and certain persons in your household);
- personal circumstances (such as relationships with others in the household, disabilities, certain medical details, whether you or any members of your household are a carer or being cared for, whether you or any members of your household are students, your religion, criminal offence data or information relating to any safeguarding concerns)
- financial information (such as income and capital)
- housing details (such as the type of accommodation you currently live in); and
- contact details (such as phone numbers, email addresses to be able to contact you).
Sponsor family
We will collect information relating to any safeguarding, security and home assessments required for your suitability to provide support such as:
- personal information (such as name, addresses, dates of birth for you and certain persons in your household);
- personal circumstances (such as relationships with others in the household, disabilities, whether you or any members of your household are a carer or being cared for or information relating to any safeguarding concerns)
- financial information (such as bank details for the purposes of making ‘thank you’ payments)
- housing details (such as the type of accommodation you currently live in to assess suitability to accommodate Ukrainian guests)
- contact details (such as phone numbers, email addresses to be able to contact you).
Why we collect and use this information
We will use the information provided to:
- Support the Homes for Ukraine sponsorship scheme within Wyre Forest
- Assess the sponsor property and check entitlement to any payments made
- Keep a record of the support that we will be providing to both the sponsor and guest/s
- Advice on housing if the need arises
- Resolve any safeguarding concerns
We may also use information in other ways compatible with the above and to ensure that provision is put in place and people are supported appropriately. We may carry out regular reviews to ensure the programme is working for you or whether we need to change anything to help you.
Why we are allowed to use your data
Data protection law says that we are allowed to use and share personal information only where we have a proper and lawful reason for doing so. Our lawful basis for processing personal information to provide you with support and to meet the requirements of the UK General Data Protection Regulation (UK GDPR) is as follows:
Most of the personal information we collect is provided to us by you, under Article 6 of the UK GDPR we rely on:
- you gave us your consent (UK GDPR Article 6 (a)
- we have a contractual obligation with you (UK GDPR Article 6 (b)
- we have a legal obligation (UK GDPR Article 6 (c)
- we need it to perform a public task (UK GDPR Article 6 (e)
When we collect data that is classed as special category data, under Article 9 of the UK GDPR we rely on:
- you gave us your explicit consent (UK GDPR Article 9 (2) (a))
- we need it for employment, social security or social protection (UK GDPR Article 9 (2) (b))
- we need to protect your vital interests in situations where you are incapable for giving consent (UK GDPR Article 9 (2) (c)
- we need to collect it for Substantial Public Interest in order to comply with UK legislation (UK GDPR Article 9 (2) (g)
- we are providing you with health and social care support (UK GDPR Article 9 (2) (h))
- we need to analyse your information (UK GDPR Article 9 (2) (j))
Who we can share your data with
Your information may be shared with staff within both Wyre Forest District Council and Worcestershire County Council to ensure the correct level of support is provided, to process payments to sponsors and to prevent fraud.
Other organisations who we may share your data with but is not limited to:
- The Home Office
- The Department for Levelling Up, Housing and Communities
- Other local authorities
- Other central government agencies
- Charities and other voluntary organisations who may be able to provide services to you. These service providers are known as data processors and have a legal obligation under the UK General Data Protection Regulation (UK GDPR) and to the Council to look after your personal information and only use it for providing that service.
